Uffculme Show & Country Fair

Traders’ Terms and Conditions (to be read in conjunction with the General Terms and Conditions)
- Trade pitches are based on single or multiples of 5m frontage and 6m depth; on grass; with parking for one vehicle (within the 5x6m/30sq.mtrs) to the side or rear of the pitch.
- Multiple pitches may be requested. WiFi access for payment solutions is included within the pitch fee.
- Fee structure: Single pitch £60. Additional pitches £50. Bespoke requests by separate discussion and agreement.
- 5 metre frontage measured across the stall at its longest point (to include tow bars, overhangs and door openings)Tents / Gazebos, guy ropes and pegs and vehicles to be within the boundary of the allocated pitch
- Alternative parking is available within the showground for traders’ vehicles.
- Preferred location requests cannot be guaranteed
- We will do our best to accommodate such requests if we are advised at the time of booking.
- Any space allocated is for the specific use for the trade specified at the time of booking.
Pitches are Non-transferable and Sub-letting is not permitted.
- Tables, chairs, gazebos, electrical power, and water are not supplied.
- Please note that mains electricity is not available on the show site.
- Generators are available for hire from the Uffculme Show preferred supplier

- Stalls to remain in place until the show is declared “closed” (5pm)
- The Vehicle Pass will be emailed upon confirmed payment of the pitch fee invoice
- Passes to be printed off and displayed in the vehicle to enable entry to the showground.
- Pitch set-up on Saturday 22nd August is available between 10:00 and 16:00 by prior arrangement.
- Entry to the show on Sunday 23rd August is between 07:30 to 09:30 on Show Day.
- Please note: There will not be an on-site security presence during the Saturday night through to the opening time for traders on the Sunday morning.
- Stallholders are responsible for their property at all times
- Any national Covid or similar restrictions in place at the time of the show will be strictly adhered to, please bring your own PPE.
- For your booking application for a trading pitch to be accepted you must: –
- Complete the Application Form.
- Have evidence of Public Liability Insurance and Employers Liability Insurance of at least £1,000,000 valid for the day of the show and any set up days *.
- Complete the Uffculme Show Risk Assessment *.Complete the Fire Risk Assessment If using a Generator or LPG gas or other fires e.g. wood burning *.
- Have a Food Hygiene Certificate – if applicable *.
*Please bring these documents with you to be available for inspection on the day.
Please note: Things you cannot do.
- The flying of radio or fibre controlled drones is not permitted.
- The sale of knives, Ball Bearing Guns, Laser Pens, Fun Snaps, Cigarettes and E-cigarettes is not permitted
- The sale of fireworks, and the display of lit candles, including tea lights, is not permitted.
- The purchase or sale of animals at the show is prohibited.
- Overnight camping is not permitted.
- Stalls must not be dismantled until the Show is officially declared “Closed”.
- No Vehicle movements are allowed between 10:00 & 17:00 on show day.
- If essential and authorised by the Uffculme Show Association, vehicles must be escorted by an approved Marshal.
Further Trader Terms and Conditions
- The Organising Committee reserves the right to cancel the Show due to unforeseen circumstances. This could include Government advice or instruction (e.g. Covid restrictions) or in the event of extreme adverse weather conditions or other issues affecting public safety.
- The Organising Committee reserves the right to refuse booking applications.
- The organisers aim to maintain trader diversity by avoiding excessive duplication within each category.
- Applications may be declined on this basis.
- The organisers encourage traders to act in accordance with the Green Credentials policy by not using:
- single-use cable ties (which when discarded on the ground can impact wildlife and farmed animals)
- Non recyclable plastics – please see our Green Credentials document below.
- Bookings once accepted and paid for are non-refundable.

- All Organising Committee decisions are final.
Completion and submission of the Entry Application Form signifies acceptance of all the above Terms and Conditions.
Payment
- Payment via BACS or Card Payment.
- Whilst the pitch application may have been accepted, the pitch location confirmation and vehicle pass for access to the showground will only be sent on receipt of fee payment.
- Access to the showground will be denied if the fee has not been settled beforehand
- To guarantee a pitch, prompt payment is advised. If you do not pay, your pitch may reallocated in any event all payments must be made at least two weeks before show date.
H. SEVERANCE CLAUSE
If any provision or part-provision of these Terms & Conditions is or becomes invalid, illegal or unenforceable, it shall be deemed modified to the minimum extent necessary to make it valid, legal and enforceable. If such modification is not possible, the relevant provision or part- provision shall be deemed deleted. Any modification to or deletion of a provision or part-provision under this clause shall not affect the validity and enforceability of the rest of this Agreement. If any provision or part-provision of this Agreement is invalid, illegal or unenforceable, the parties shall negotiate in good faith to amend such provision so that, as amended, it is legal, valid and enforceable, and, to the greatest extent possible, achieves the intended commercial result of the original provision.

A Green Credentials Show
Green credentials are values, policies and processes that demonstrate our commitment to managing our environmental impact
The Uffculme Show Association (USA) is committed to ensuring that the event is as green as possible through the reduction, re-use and recycling of waste materials with particular emphasis on the elimination of the use of plastics.
Our waste is collected by Devon Contract Waste, a company which sends nothing to landfill. The USA want to eliminate the use of single-use plastics during the show through the wide use of compostable cutlery, cups, plates and packaging.
Trading Criteria – please help us by observing the following:
- All traders must use the appropriate recycling systems provided.
- All Traders to use preferably compostable, or alternatively biodegradable, serve-ware and packaging.
- Plastic (other than PET, RPET, HDPE) or polystyrene is not permitted
(e.g. cutlery; disposable bottles; drinking straws; plastic bags).
- Condiments in single-use portions such as sugar, salt & pepper and sauces, are to be in paper sachets.
- Plastic (other than PET, RPET, HDPE) or polystyrene is not permitted
Serving ware
All consume-on-the-go serve-ware including cutlery, plates, meal boxes, cups, glasses etc. should be ‘compostable’ or ‘biodegradable’ (preferably compostable).
Recommended serve-ware:
- Wooden cutlery — spoons, forks, knives, stirrers
- Compostable (or biodegradable) paper and cardboard cups; paper plates; bowls and take-away containers
- Bio-cornstarch drinking straws
- Compostable PLA glassware (Polylactic acid – a plastic made from renewable resources like corn starch, sugarcane, or sugar beet)

Packaging
Packaging should be kept to a minimum and consist of only compostable or approved recyclable material:
- No single use plastic, e.g. plastic bags
- Plastics: PET, RPET, HDPE are ok to use
- Uncoated cards and plastics (starch-based compostable coatings are preferred)
